OLO Physical Therapy & Wellness

Privacy Policy

Effective date: September 27, 2026

This Privacy Policy explains how OLO Physical Therapy and Wellness, PLLC (“OLO,” “we,” “us,” or “our”) collects, uses, and protects information when you visit our websites (including oloptw.com and ads.oloptw.com) or submit information through one of our online forms. It does not cover the health information we collect as part of providing clinical care, which is addressed separately in Section 7 below.

1.Information We Collect

Information you provide to us

When you submit a form on our website (such as our appointment request form), we collect the information you enter, which may include your first and last name, phone number, email address, and any details you share about your injury, pain, or goals.

Information collected automatically

When you browse our website, we and our service providers may automatically collect certain information, including your IP address, device and browser type, pages viewed, referring website, and advertising click identifiers (such as a Google Click ID or Meta Click ID), typically through cookies and similar technologies.

2.How We Use Your Information

  • Respond to your inquiry and schedule your appointment or free consultation
  • Send appointment reminders and other service-related communications
  • Send marketing communications, but only if you’ve opted in
  • Measure and improve the performance of our website and ad campaigns
  • Comply with legal obligations and protect against fraud or misuse of our website

3.Text Message (SMS) Communications

If you check the boxes on our form, you consent to receive text messages from OLO Physical Therapy and Wellness, PLLC at the phone number you provide, in one or both of these categories:

  • Non-marketing texts: appointment reminders and other service-related updates.
  • Marketing and promotional texts: special offers, discounts, and new product or service updates.

Message frequency varies. Message and data rates may apply. Reply HELP for assistance or STOP at any time to opt out of text messages. Consent to receive text messages is not a condition of receiving care from OLO. We are not responsible for delayed or undelivered messages, or for any charges from your mobile carrier.

We do not sell, rent or share your mobile phone number or SMS opt-in consent with third parties or affiliates for their marketing purposes.

4.Cookies, Pixels & Advertising Technologies

Our website uses cookies and similar tracking technologies, which may include Google Ads, Meta (Facebook and Instagram) advertising pixels, and other analytics tools, to understand how visitors use our website and to measure the performance of our advertising campaigns. You can control cookies through your browser settings; disabling cookies may affect how parts of our website function.

5.Third-Party Service Providers

We use trusted third-party providers to operate our website and business, including:

  • GoHighLevel: the platform that hosts our website, processes form submissions, and manages our client communications.
  • Jane App: our appointment scheduling and practice management software.
  • Google Ads and Meta: the advertising platforms we use to reach prospective patients online.
  • Google Maps: embedded maps that show our clinic location.

These providers may access your information only as needed to perform services on our behalf, and are not permitted to use it for their own independent purposes.

6.How We Share Information

We do not sell your personal information. We share information only with the service providers described above, when required by law, or when necessary to protect the rights, property, or safety of OLO, our patients, or others.

7.Health Information & HIPAA

This Privacy Policy covers information collected through our website and marketing forms. It does not cover the protected health information (PHI) we collect and maintain as part of your clinical care once you become a patient. That information is governed by our separate HIPAA Notice of Privacy Practices, which is provided directly to patients.

Please do not include detailed medical history, diagnoses, or other sensitive health information in our website forms. A short description of what’s going on is all we need to schedule your visit. We’ll gather full clinical details in a secure setting once you’re a patient.

8.Data Retention

We retain the information described in this policy for as long as reasonably necessary to fulfill the purposes described above, comply with our legal obligations, resolve disputes, and enforce our agreements.

9.Your Choices & Rights

You can opt out of marketing text messages at any time by replying STOP, and out of marketing emails using the unsubscribe link in any email. To request access to, correction of, or deletion of your personal information, contact us using the information in Section 13 below.

10.Children’s Privacy

Our website is not directed to children, and we do not knowingly collect personal information online from anyone under the age of 18 through our website forms.

11.Data Security

We use reasonable administrative and technical safeguards designed to protect your information. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

12.Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a new effective date.
